The committee has reviewed the policy in the light of the introduction of the Simple Membership System and the end of the requirement for members to carry their Membership Cards to Group Meetings and Events.

1. The organisation has a duty of care towards its members. In particular, it needs to take reasonable steps to advise the appropriate person(s) in the event of a misadventure befalling a member who is thereby unable to identify who should be told.

2. Members are asked to record the contact details of such persons on their Chiltern u3a Simple Membership Personal Profiles, which will then be available for the Convenors of any Groups they attend and Organisers of any Events they attend.

3. Members are also asked to put these details into their mobile smart phones using the contact name ICE or ICE1 for the first person to be called and ICE2 for the second person. Some mobile phones show an “emergency” button on the front, by means of which the ICE number can be called, even when the phone is otherwise locked.

4. Group Convenors should print off up-to-date details of Group Members’ ICE information and carry them to meetings. Event Organisers should print off ICE details of attendees and carry them to the events. Once an event is over, or a new Group Members list is formed, previous ICE lists should be shredded or, if stored on a computer or phone, deleted.

5. If members do not wish to record their details as indicated, this is their decision and Chiltern u3a will have discharged its duty of care by making the requests.
